Privacy Policy

Bia Books ("Bia", "we", "us") is a service of Potential Marketing LLC, 254 Chapman Rd, Ste 208 #13489, Newark, DE 19702, USA. Bia answers messages sent to home service businesses (our "Clients") on their behalf. This policy explains what information we handle and how.
Who this applies to
- Clients — the businesses that use Bia and the people who manage their accounts.
- Customers — people who send messages to a Client's Facebook Page, Instagram account or phone number that the Client connected to Bia.
Information we collect
- Messages and conversation details: the content of messages customers send to a connected Page or number and the replies sent, message identifiers, timestamps, and the customer's page-scoped ID and first name as provided by Meta.
- Information customers share to book a service: such as name, phone number, email, address or ZIP code, and details about the job.
- Client account information: business details, service and pricing settings, owner contact information, and the access tokens Meta issues when a Client connects a Page.
- Technical logs: limited request logs used to operate and secure the service.
How we use it
- To read and answer customer messages on the Client's behalf, schedule appointments, and notify the Client.
- To let the Client review conversations and improve the answers Bia gives for their business.
- To operate, secure, troubleshoot and improve the service.
We do not sell personal information, we do not use it for advertising, and we do not use customer messages to train AI models.
AI processing and service providers
Bia uses AI language models to understand messages and write replies. Message text is sent to AI model providers only to produce a reply, through providers configured not to retain the data for training. We also use Google Cloud (hosting, encryption keys), Neon (database) and Cloudflare (network security). These providers process data only to provide their services to us.
Meta Platform data
When a Client connects a Facebook Page or Instagram account, we receive message data through Meta's Platform only for that Page or account, and we use it only to provide Bia to that Client, in line with Meta's Platform Terms. Page access tokens are stored encrypted and are never shared.
Sharing
Conversation information is available to the Client whose Page or number received the message. We share information with service providers as described above, and when required by law. We never share one Client's data with another Client.
Security
Data is encrypted in transit and at rest. Each Client's credentials are encrypted with a key specific to that Client, and each Client's data is isolated from every other Client's at the database level. Access to the service's administration requires authentication.
Retention
We keep conversation data while the Client uses Bia, so the Client can see its history. When a Client disconnects a Page or closes its account, or when a deletion request is received, the related data is deleted within 30 days, except where we must keep it by law.
Your choices and rights
Customers can ask the business they contacted, or us, to access or delete their information. See Data deletion. Residents of certain U.S. states may have additional rights; we honor verified requests.
Children
Bia is not directed to children under 13, and we do not knowingly collect their information.
Changes
We will post updates on this page and change the date above.
